Privacy Policy

Shuttle Coach ("Shuttle Coach", "we", "us", or "our") recognises the importance of your privacy and respects your right to control how your personal information is collected and used. This Privacy Policy applies to the Shuttle Coach website and web application (the "Service"), and to the products and services we provide through it.

Shuttle Coach is a tool that badminton programs, clubs, and coaches (each an "Organisation") use to run their training programs - including player ranking ladders, coaching notes, match video, and payment tracking. In many cases an Organisation enters and manages information about its players and members within the Service. Where an Organisation decides what information is collected and why, that Organisation is responsible for that information and its own privacy practices, and Shuttle Coach processes the information on the Organisation's behalf. This policy describes how Shuttle Coach handles personal information across the Service.

In this policy "Personal Information" means any information that may identify you, or by which your identity might reasonably be determined - for example your name, date of birth, email address, and phone number.

Information you provide when you create an account. When you register, we collect your first and last name, email address, and password, and optionally your date of birth (used for birthday reminders) and whether you are registering as a player or as a parent/guardian. Passwords are handled by our authentication provider and are stored in hashed form; we do not have access to your plain-text password.

Information an Organisation records about you. A coach or administrator of an Organisation you are associated with may add or maintain information about you in the Service, such as your name, email address, date of birth, parent/guardian name, email and phone number, playing style, skill or tier grading, attendance and status notes, a profile photo, coaching and fitness notes, ladder match results, session bookings, and lesson or court fees and payment records.

Video you or your Organisation add. The Service lets coaches link match footage (for example a YouTube video) to a player's profile or to a coaching note. Titles and note text may be processed to power similarity-based video search (see "How We Share Your Information").

Correspondence. If you contact us by email or otherwise, we may keep a record of that correspondence.

We do not collect payment card details. Any payment information in the Service consists of records of amounts owed or paid that an Organisation enters or imports for its own bookkeeping. We do not collect, process, or store credit or debit card numbers.

Some information is collected automatically when you use the Service, such as your device's Internet Protocol (IP) address, browser type and version, the pages you view and the time and date of your visit, and diagnostic data used to keep the Service running and secure. This information is generated by standard web-server and hosting logs.

Shuttle Coach uses a small number of essential cookies that are required for the Service to function - for example, to keep you signed in and to protect against cross-site request forgery. These cookies do not track you across other websites.

We do not use advertising cookies. If we introduce optional analytics in the future, we will only set those cookies after you have given consent, and you will be able to withdraw it. You can also instruct your browser to refuse cookies, but if you do, some parts of the Service may not work.

We use the information described above to:

• create, manage, and secure your account and authenticate you when you sign in;
• provide the Service to you and to the Organisations you belong to, including ladders and rankings, coaching and fitness notes, match video, session scheduling and bookings, and payment tracking;
• present content in the most effective way for you and your device;
• send you service-related messages, such as reminders, confirmations, and notices about changes to the Service;
• respond to your enquiries and provide support;
• monitor, troubleshoot, analyse, and improve the Service, including its security and reliability; and
• comply with our legal obligations and enforce our terms.

Profile photos, match footage, and coaching notes are used within the Service to support coaching and player development for the Organisation that added them. Shuttle Coach does not use player photos or video for marketing or promotional purposes.

If a coach or administrator has added content about you that you would like changed or removed, please contact your Organisation, or contact us using the details below and we will assist.

We do not sell your Personal Information. We share it only as needed to operate the Service:

• With your Organisation. Coaches and administrators of an Organisation you belong to can see the information held about you within that Organisation.
• With service providers who help us run the Service, under agreements that require them to protect your information and use it only to provide services to us. These currently include:
  • hosting and database infrastructure providers who store the Service's data;
  • a file-storage provider that hosts uploaded images such as organisation logos and profile photos;
  • an authentication provider that manages sign-in and password security;
  • a text-embedding provider that processes video titles and note text so coaches can search video by meaning; and
  • YouTube/Google, when video is embedded from YouTube - your use of embedded YouTube content is also subject to Google's privacy policy.
• For legal reasons, where we are required to do so by law or a court order, or to protect the rights, safety, and security of our users, the public, or Shuttle Coach.
• In a business transfer, if Shuttle Coach is involved in a merger, acquisition, or sale of assets, in which case we will require the recipient to honour this policy.

Shuttle Coach is used by badminton programs whose players are often children. Accounts are intended to be created by adults - a coach or administrator, or a parent or guardian. A child should not create their own account, and where information about a child is recorded in the Service it should be provided by, or with the consent of, the child's parent or guardian and the relevant Organisation.

If you believe a child has provided us with Personal Information without the involvement of a parent, guardian, or Organisation, please contact us and we will take appropriate steps to delete it.

We retain Personal Information for as long as your account is active, as long as needed to provide the Service to you and your Organisation, and afterwards only as required to meet legal, accounting, or reporting obligations, resolve disputes, and enforce our agreements.

The security of your Personal Information is important to us. We use reasonable technical and organisational measures to protect it, including encrypted connections and restricted access. However, no method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security. Any transmission of information is at your own risk.

You can review and update your account information by signing in to the Service. Depending on where you live, you may have the right to request access to, correction of, or deletion of the Personal Information we hold about you, and to object to or restrict certain processing.

Where information about you was added by an Organisation, we may need to refer your request to that Organisation, or ask you to contact them directly, as they control that information. To make a request, contact us using the details below. We will respond within the time required by applicable law.

This Privacy Policy is governed by the laws of Queensland, Australia. If you access the Service from outside Australia, you understand that your information may be processed in Australia and in other countries where our service providers operate, which may have different data-protection laws.

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a new "Last updated" date. If we make changes that materially affect how we handle Personal Information we have already collected, we will endeavour to notify you in advance, for example by a notice on the Service or by email. Your continued use of the Service after an update takes effect means you accept the revised policy.
